Temporary Term Position- Full Time Administrative Clerk

The Town of Fort Macleod is currently seeking a temporary full time Administrative Clerk to work with our Administration team during a leave of absence. The successful candidate will have exceptional time management skills and the ability to positively interface with residents, employees, and contractors with a strong ability to have solution-based conversations. Expected duration of term is approximately 12 months and will not exceed 18 months, however due to the nature of the absence, timelines may be adjusted as required.  

Reporting to the Director of Operations this position will be responsible for supporting the senior management team with a primary focus within the operations department.

Key Areas of responsibility include but are not limited to:

  • Assist with the efficient and effective use, integration, and maintenance of a variety of Town software and programs ie: Muniware, Square site, and Laserfiche; including updates, data entry and collection, forms creation, process automation and records management.
  • Prepare and submit for approval documents, bylaw amendments, agreements, council submissions and other related materials.
  • Administer department related communications and correspondence via email, phone, voicemail.
  • Prepare departmental information for distribution through the Town’s various media outlets and assist with social media, voyent alert, website updates etc. as required.
  • General office administration and duties as required.
  • Other related duties as required.

Preference may be given to those who have completed a diploma in a related field, such as an Office Administration or Business program. Previous office administration experience along with a strong emphasis being placed on proficiency within a variety of software platforms including Microsoft Office, Canva, Adobe Pro, Google etc. Experience within a unionized work environment in a municipal setting would be considered and asset.

Hours of Work: Temporary Term  position, full time hours available – Monday through Friday 8:30 am - 4:30 pm (one hour unpaid lunch)

Compensation:  $27.24 as per the current CUPE local 70 rate

Contract Position- Santa Claus Parade Coordinator                          Duration: April 1, 2024, through March 31, 2025

 

Position Summary:

The Town of Fort Macleod, in partnership with the Parade Committee, is seeking a qualified individual for the position of Santa Claus Parade Coordinator. This contract position will run from April 1, 2024, through March 31, 2025, with the primary responsibility of planning, organizing, and executing the annual Santa Claus parade. This year the parade is scheduled for November 30, 2024.

 

The Santa Claus Parade Coordinator will be responsible for various tasks, including but not limited to:

 

Pre-planning: Oversee all aspects related to permitting, venues, participants, sponsors, materials, and supplies.

Promotion and Advertising: Develop and implement strategies to promote the Santa Claus parade, ensuring maximum community engagement and participation.

On-site Supervision: Coordinate with the Town and local Volker Stevin representative to prepare the parade route, ensuring safe and efficient operations on the day of the event. Maintain order among participants and secure necessary regulatory support and permits from stakeholders.

Budget Management: Manage the budget allocated for the Santa Claus parade, ensuring fiscal responsibility, and provide regular financial reports as required.

Committee Meetings: Prepare minutes and agendas for committee meetings, facilitating effective communication and collaboration among committee members.

Post-Event Evaluation: Conduct year-end evaluations and prepare financial reports as deemed necessary by the Town and/or Parade Committee.

Additional Responsibilities: Undertake any other related duties as necessary to ensure the proper planning, organizing, delivery, and evaluation of the event.

 

Qualifications:

Proven experience in event planning and coordination.   

Excellent organizational and communication skills.

Ability to work collaboratively with diverse stakeholders. 

Strong budget management skills.

Knowledge of local regulations and permitting processes.

 

Work from your home with your own schedule, committee meetings scheduled as needed in coordination with committee members.

Compensation: $8500.00 per contract and is paid quarterly, with the final payment being released at the conclusion of all required post event reporting. Specific details to be outlined in the employment contract.
